NEW: -Illinois Humanities Grant awarded to SMPL on November 20 with $10,000 deposited into our account on December 15. Trustee Salli Pritts absent. MINUTES AND FINANCIAL REPORT: February minutes and financial report were read and approved. LIBRARIAN’S REPORT: -February, 2024 Circulation Figures: CKO 428; Computer 57; Patrons Assisted 333. -Debbie and Vicki went to the City Board Meeting on March 11th to see if we could get TIF money to help fund the library sign. The City can use the TIF money for building but not for the sign. However, the City will budget funds to help. Debbie needs to get the estimate of cost from Matt Roush and give it to the Board. TRUSTEE/COMMITTEE REPORTS: Disaster Policy Meeting was held on Thursday, Feb. 22nd at 3:30 P.M. Plan was reviewed with changes in progress. UNFINISHED/ONGOING: ALA Grant-Libraries Transforming Communities Round 1 update: - Diabetes Self-Management Program will conclude on March 14th--This program is sponsored by the ALA Grand Round 1 in partnership with the Macon County Health Department—Starting Point. - Aging Actively through fall prevention and functional fitness movement Class was held Tuesday, March 5th and was an overwhelming success with 25 participants. We plan to continue some type of wellness program—plans are in the works. * This program is sponsored by the ALA Grant Round 1. - Medicare Educational Health and Drug Plan Meeting will be held on Wednesday, March 27th at 6 P.M. *This program is sponsored by the ALA Grant Round 1. ALA Grant-Libraries Transforming Communities Round 2 was awarded in the amount of $10,000 to the Library on February 14th. NEW: - Material handling machine will be used within 6 months instead of hand sorting. - Harassment Policy - In the Works using Illinois Humanities Grant Funds: Lego Night Exercise Class Gardening Class Cooking with Cinda Stock - Friends of the Library will be serving Breakfast and Lunch to support the Library during the Macon Community Garage Sales May 2nd – 4th. LIBRARY STAFF ACTIVITIES/PROGRAMS UPDATE - Storytime March 13th 5:30 – 6:15 P.M. - Diabetes Self-Management Program completes on March 14th - Pi Day on March 14th 1:30 – 5:30 P.M. Currently we have Sparklight. Debbie Herbert checked into Conxxus which would cost less per month than Sparklight. Lori will check further into Conxxus but will table for now. LIBRARIAN’S REPORT: Circulation Figures: October, 2023 CKO 372 Computer 65 Patron’s Assisted 305 (31 Library Crawl Visitors) TRUSTEE/COMMITTEE REPORTS: Complete Annual Review of Policies. Scheduled for the months of January and February 2024 UNFINISHED/ONGOING: ALA Grant-Libraries Transforming Communities update: Tentatively the diabetic class with the Senior group is scheduled starting in February. We set the 3rd Decennial Committee Meeting for April 9, 2024 after the Library Board Meeting. The meeting will include the Committee Members, Ruth Hilvety and Sue Cole. Janice Lancaster Memorial Donations: Janice’s daughters would like the library donations to go toward the Children’s Programming (Summer Reading). Auditor met with Susan. MINUTES AND FINANCIAL REPORT: Read and approved as written LIBRARIAN’S REPORT: Circulation Figures: September, 2023 CKO: 373 Computer: 60 Patron’s Assisted: 303 (includes mobile delivery) TRUSTEE/COMMITTEE REPORTS: Annual Review of Policies will be scheduled January and February 2024 UNFINISHED/ONGOING: ALA Grant-Libraries Transforming Communities update NEW: September 14th at 10:30 A.M. Retention of Records Meeting update Library Crawl: October has officially started so whoever would like a passport to be involved in this program can get one at the library. Everyone who participates will get a pen that says South Macon Public Library. Our people, if they visit 5 or more different libraries by the end of the month will get a prize. Tax Levy: Susan has turned these into the Macon County Clerks office. They are all stamped and done. They are now at the Auditors. Library Cards: Under the Cards for Kids Act, we cannot deny them if their parents will not come in and sign for them. Because of the liability towards the books/DVDs there will be a limit of 3 items checked out in this case at a time. They will have to provide proof of address. These terms do not apply to Grade School Children. Only Junior High and up until they are 18. Normally it is 6 items that can be checked out. Board unanimously agreed. Room Rental: Discussed our current policy and agreed that it needs to be reviewed and updated. Currently we charge a flat fee of $35 during library hours. If it will be rented after hours there will be an additional charge per hour for however long your party is dependent on staff availability. The Board agreed to charge $20 an hour for the first hour and then $25 per hour for every hour after that. This is in addition to the flat fee of $35. LIBRARY STAFF ACTIVITIES/PROGRAMS UPDATE October 18th at 4 P.M. – Book Club October 19th at 6 P.M. – Second Lighting of the Christmas Tree Meeting. We are working with the Fire Department and the City. We will be passing out books and treats in our Merry Grinchmas bags. The Grinch will be making a surprise visit as well. He charges $50 and he asks that another $50 goes for the Marine Toys for Tots. Accepting donations for the treat bags. November 8th at 6 P.M. – Kids Night Christmas Ornaments November 15th at 6 P.M. An encouragement to visit other libraries. The patrons will be given a card and when they visit other libraries their card will be stamped. When five have been stamped on their card, they will be given an ornament from us with our logo. 123 libraries in the State of IL are participating. Librarian’s Report: Vicki Carr reported July 633 checkouts; computer use is at 49. Trustee/Committee Reports: Annual Review of Policies completed. Vicki reminded the board members to complete the Sexual Harassment Training for Trustees (training book at the library) and Open Meetings Act Training (on-line). Unfinished/Ongoing: ALA Grant-Libraries Transforming Communities. The SMPL Staff and Starting Point from the Macon County Health Department presented their programs to the Senior Group on August 1st as part of the Grant. There was much interest in the programs offered and the library does hope to host a diabetes class in the near future. New: *Illinois Humanities Grant opportunity *Secretary’s Book was audited July 19th *Budget Ordinance discussed. Tami motioned to accept and Donna seconded. Vice President Anna Jesse was absent. Guest Ruth Hilvety also attended. The minutes of the June meeting were read and approved as written along with the June 2023 financial report. The financial report does not reflect grants and memorials earned. The library has received $21,000 in grants already for this fiscal year. Last year we received $42,000 in grants. The new budget will be posted July 12. Librarian’s Report: Vicki Carr reported 739 checkouts; computer use is at 12. Trustee/Committee Reports: Vicki reminded the board members to complete the Sexual Harassment Training for Trustees (training book at the Library) and Open Meetings Act Training (on-line). Unfinished/Ongoing: ALA Grant-Libraries Transforming Communities. The SMPL Staff and Starting Point from the Macon County Health Department will be presenting to the Senior Group on August 1 as part of the Grant. Assists with individuals who has disabilities and Senior Citizens. New: Macon County Community Foundation attended the June 28th Summer Reading Program to showcase Dolly Parton Imagination Library. They gave the Library a $1000 Grant to be used for youth books. Rep Brad Halbrook also attended in support of the Library and the Foundation. Donna Hayes and Linda Wiles will schedule with Vicki Carr a time to meet to Audit Secretary’s Book. Some are grandfathered in (includes our Librarians). When it expires, you will have to take a class and an exam and you have to pass. A journal must also be kept of specifics of everything that is notarized. *IL Library Association is having their annual conference in Springfield this year October 24th, 25th, 26th. Meeting was called to order by President Debbie Herbert at 5:30pm. In attendance were Treasurer Susan Strahle, Trustess Linda Wiles and Donna Hayes and librarians Vicki Carr and Lori Nixon. Vice-President Anna Jesse, Secretary Tami Long and Trustee Salli Pritts were absent. March 14th minutes and financial report were approved. Vicki Carr reported March CKO 512 and computer use at 11. The Annual Review of Policies was completed with the updated Board Information and Miscellaneous Information page added to the policies. The April 2023 Review of Standards for IL. Public Libraries was updated and is now complete. ALA Grant: Libraries Transforming Communities was submitted 2/22/23 for $10,000 to $20,000. Grants will be awarded in April 2023. Kids Night is April 26th and Ladies Night is May 17th. The library received a total of $495 in memory of Bev Damery. The money will be used to purchase books. October board meeting has been scheduled for Oct. 3rd rather than Oct 10th. Congratulations to the following 5 ladies who won ticketd to the Quilt Show: Ruth Hilvety, Lisa Marshall, Susan Strahle, Linda Binkley and Diana Ashenfelter. The City of Macon is repairing storm damage from March 31st which involves tree clean up and some siding replacement. Vicki will be attending the Smalls Pubs Meeting on April 19th in Tolono and Adult services meeting in Chatham April 21st. Lori and Brittany will be attending the Reaching Forward South Conference in O'Fallon on April 14th. Everyone received a copy of the wonderful Summer Reading Schedule. Sign ups are June 8th and 9th. President Debbie Herbert called the meeting to order at 5:30. Attendance included Secretary Tami Long, Treasurer Susan Strahle, Trustees Linda Wiles, Salli Pritts and Donna Hayes. Vice-President Anna Jesse was absent. Librarians present were Vicki Carr and Lori Nixon. February 2023 minutes and financial report were read and approved as written. Vicki Carr reported January cko 490 and computer use at 19. Trustee/Committee Reports: Review of Policies-We went over and updated the policy Committee Recommendations. Linda Wiles motioned that all the Review of Policy Books were reviewed, updated in all the Committees’ books as of March 14, 2023. Susan Strahle seconded. All in favor, motion passed. State Standards Review for Per Capita Grant: On March 14th, 2023 at the regular South Macon Public Library Board meeting Chapters 1-6 of the Library Standards Manual were reviewed. Topics discussed were Core Standards, Governance and Administration, Personnel, Access, Building Infrastructure and Maintenance and Safety. Discussed where areas that have changed and areas that the library board and staff can work on to improve. New: ALA Grant-Libraries Transforming Communities submitted February 22, 2023 for $10,000-$20,000. Grants awarded in April 2023. Kids night scheduled-April 26, 2023 with Bev Durham from Just Paint it. Long time patron Bev Damery passed away last month and one of her memorials was to the South Macon Public Library. Donations were received and Vicki will write Thank you cards and let us know what the total was at the April meeting. Discussion was made to purchase books with the donations as Bev was such an avid reading. A memorial will be put in each book that the Library will purchase with the donations. Library Staff Activities/Programs Update: Vicki will attend The Small Pubs Meeting on April 19, 2023 in Tolono. The Library would like to host a meeting in the future which the Board approved. Vicki will also attend an Adult Services Meeting-April 21, 2023. First Grade Bookworm for the month of February is completed which has 2 readers. Lori and Brittany will be attending the Reaching Forward South Conference in O’Fallon, IL. This is training for support staff on April 14, 2023. “Blind Date with a Book”: wrapped up with good participation again this year. Tami Long discussed the City Program “Music in the Park” which will start in May and end in October. The program is a Community event and is 1 time a month. The event will be a farmer/vendor market in the morning with local bands playing in the afternoon. Tami asked if the Library would like to be one of the sponsors. If they decide to be a sponsor the Library’s name will go on the banner that will be made up listing the sponsors. A motion was made by Salli Pritts to sponsor and donate $100 to the Music in the Park Program now and then another monetary amount after the event begins. Donna Hayes seconded. All in favor, motion carried. Debbie Herbert donated $100 in the Library’s name to the Decatur Quilters Guild at the Civic Center. If you donate $100 you get 5 free tickets. The Library’s mane would be added in the Guild’s advertising. Discussed putting up a display with a quilt in the Library and put a jar out for people to sign up and that can win 1st prize 3 tickets, 2nd prize 2 tickets. Next library meeting April 11 at 5:30 pm. President Debbie Herbert called the meeting to order at 5:30. Trustees in attendance included Tami Long, Susan Strahle, Linda Wiles, and Donna Hayes. Librarians Lori Nixon and Vicki Carr were in attendance. Anna Jesse and Salli Pritts were absent. November 2022 minutes were read and approved. November and December 2022 financial report approved. Vicki Carr reported November cko 488 and December cko 514. Computer use November 20 and December 20. Trustee/Committee Report: Will continue to review the policy book. Vicki passed out a curriculum to review the table of contents and schedule. A committee was formed to head this and present to the Board who included Debbie Herbert, Tami Long, Donna Hayes, Vicki Carr and Lori Nixon. They scheduled a meeting at the library for 1/19/23 at 2pm. Unfinished/Ongoing: Per Capita Grant must Review Standards for Illinois Public Libraries. A schedule was set to do in two months during March and April 2023. New: Grant Update=Submitted the Penguin Books Grant for $1,000 on 12/8/22 Vicki will meet with the committee on 12/1/22 for the ALA Grant. Libraries Transforming Communities due 2/28/23 for $10,000-$20,000. Ladies’ night scheduled 1/11/23 with Just Paint It with Bev Durham. March 8, 2023 will be Next of Kiln. Security camera parts and equipment are installed and in use. The library participated in the Scholastic Library Program and were able to give away 50 free books during the month of December. The library participated in the Macon Fire Department toy drive with a large amount of toys and some cash donations. We hope to partner with them to make this an even bigger event next year. Library Staff Activities/Programs Update: Lori attended the Showcase Summer Reading Program in Forsyth on November 10th and has begun Summer Reading plans. All staff attended and completed the IHLS required Sexual Harassment training. 2023 library plans-Handout given per librarians on monthly themes. Next meeting will be 2/14/23.
