Daniel Overturf - Illinois Trails and Traces: Portraits and Stories Along the State’s Historic Routes. September 2, 2026. Julia Rendleman - Illinois’ Growing News Deserts and Why We Should Care. October 6th, 2026 Country Financial Insurance had an inspection of the library and the following issues were found to be corrected or updated. Replace surge protector - completed Feb. 5, 2026. Replace Fire Safety lights - completed Feb. 5, 2026. The above work was completed by Apex Electrical Solutions, Inc. for $2,529 Fire System Inspection is yet to be completed. There are many ongoing and upcoming programs including a Dragon Egg Hunt, Blind Date with a Book, Frankenstuffs, Ceramics with Next of Kiln, book club, Chair Exercises and Lego Club. The E-Rate Grant from October through December 2025 resulted in a reduction in internet billing of $219.42. Donations: $50 was received from Melanie Roberts in honor of her grandmother, Ruth Turner. A $5000 donation was received from the estate of David Miller. Road Scholar, Julia Rendleman of Makanda will speak on October 6th, 2026 at 6pm. The topic is Illinois’ Growing News Deserts and Why We Should Care. Scholar, Dr. Norm Moline of Rock Island is yet to be scheduled. Maintenance update: Eric Nixon fixed the lighting timers and new handicap parking signs were completed by Scott Wise at a cost of $20. The Library will close on April 10, 2026, so staff can travel to O’Fallon, IL to attend The Illinois Library Association’s Reaching Forward South Conference. Susan Strahle motioned to approve the closure and Mindy Younker, seconded. All approved. There are many ongoing and upcoming programs including a Dragon Egg Hunt, Candle making with T Candles, LLC., book club, Chair Exercises and Lego Club. - SOUTH MACON PUBLIC LIBRARY DISTRICT BOARD MEETING TUESDAY, November 11, 2025
The meeting was called to order at 3:30PM by President Debbie Herbert. Trustees present were Susan Strahle, Tami Long, Cathy Murray, and Mindy Younker. Absent were Anna Jesse and Salli Pritts. Director Vicki Carr and Assistant Lori Nixon were also present. The October minutes and financial report were and approved. Vicki reported October checkout was 388 and computer usage was 53. Patrons assisted were 483 and 12 programs were held during the month. The new outdoor lighting has been installed but the timer is not working. Someone will be called to see if it can be fixed. The holiday dates for 2026 were reviewed. Susan made a notion to accept, seconded by Cathy Murray. All voted yes. Since we do not have a December meeting, Tami Long motioned to approve the paying of December bills. Mindy Younker seconded. All voted yes. Scott Wise is going to see about new handicap signs for the parking lot. The bathroom heat has been fixed. Vicki reported that 2 new tables 12 chairs were ordered and delivered. Vicki took us through the many activities and programs scheduled for the next few months. That includes Narcan training required for all staff and ILED Trustee training for all trustees. President Debbie Herbert called the meeting to order at 3:30pm. Trustees in attendance included Susan Strahle, Tami Long, Mindy Younker, and Anna Jesse. Trustees Cathy Murray and Salli Pritts were absent. Librarians Vicki Carr and Lori Nixon were also in attendance. The agenda was approved as presented. The minutes for September 09, 2025 were approved. Treasure's report for September 2025 needs a correction, will revisit at November meeting. Librarian's report: Month Check Outs Computer Patrons Assisted Programs July, 25 409 45 301 17 Aug. 25 305 47 308 9 Sept. 25 336 60 428 13 Unfinished Business included the following items: -IL Humanities Grant Round 3 application submitted -Currently working on ALA Grant round 4 -Signed contract hosting 3 events with the Illinois Humanities Road Scholars. First informational meeting will be November 13th. The search for an electrician was completed with the hire of Chuck Peck. He will install the new exterior sidewalk lights once we receive and make the bathroom heat thermostat accessible. Tami Long motioned to not exceed $1000 in installation costs, Susan Strahle seconded . Motion approved. New Business included the following items. -It's the time of year to renew the Library's insurance coverage. With obstacles and displeasure in the current policy holder, Erie Insurance. Tami Long made a motion to switch the policy holder to Country Companies. Mind Younker seconded. Motion approved. -Vicki informed the board of a very generous memorial donation by the David Miller family in the amount of $5000.00. The family would like the funds to be allotted towards the Summer Reading program. -The library has been hosing many activities each month and is in need of additional tables and chairs. They would like to purchase 2 tables and 16 chairs. The board would like to see a price comparison for folded and stacking chairs. Discussion will resume next meeting. -Along with more patrons attending the library's monthly activities, the library is in need of additional parking. The library had reached out to 3 businesses for estimates to repave and expand the parking lot on the east side of building. At the time of meeting , we were still waiting for the proposal of B&W Asphalt. Of the business that did submit a proposal; Elite Paving and advanced Paving. Further discussion was made about the cost and longevity of concrete paving. Debbie will try to get a quote for concrete. However, with the weather cooling, Susan Strahle motioned to accept Advanced Paving and Seal coating bid unless concrete was a better option. Tami Long seconded. Motion approved. -Lori reported the library had 51 people come through for lunch during the Macon Community Garage sales and donating $486. -Vicki reported the library had a total of 32 visitors during the IHLS Annual Library Crawl. 0-Unfortunately due to low participation, the monthly Bunco activity has been discontinued. Our next scheduled meeting will be November 11\, 2025 at 3:30pm. Jeff Zerowski of Air King came out and suggested installing individual thermostats to the existing and working heating units. We are waiting for a bid to complete the work. Per Capita Grant notification was received that we will receive $3,227.30. A letter and check of $1,000 were received from the Community Foundation of Macon County. The grant was suggested by Mr. Tom Burns. Vicki received notification that the Library unfortunately was not awarded money from the State Historical Grant Program for 2025. Suggestion was made by the Board to direct the Per Capita money be used this year to complete the work that the Historical Grant money would have paid for. All agreed. Further suggestion that the Community Foundation grant money be directed to the continued archival of community documents in our care. All agreed. These funds will cover what the Historical Grant would have. E-rate grant in the amount $1,600 was awarded to pay for internet services. Summer Reading Program is in full swing with increased numbers from previous years. Meeting was adjourned at 4:39 pm with a motion by Salli Pritts and a second by Anna Jesse. Meeting was called to order at 3:45 p.m. by President Debbie Herbert. Trustees in attendance were Debbie Herbert, Mindy Younker, Susan Strahle, and Cathy Murray. Librarian’s Report: Vicki reported on IPLAR 15 programs were held, Round 3 of ALA is beginning $10,000 ALA 1 st Round was $20,000 ALA 2 nd Round was $10,000 This ALA Grant money is focused on purchases for patrons with disabilities. Abby Herbert our summer employee is a Special Ed Teacher in the Meridian School District and will be helping with purchases related to neurodivergent patrons. Discussion was held about the purchase of a storage shed. Personnel Meeting was held on June 19 th at 2pm. 49 kids signed up for Summer Reading Kids Program. Teen Advisory Board has 6 members. Meeting was called to order at 3:38 p.m. by Debbie Herbert. Trustees in attendance were Debbie Herbert, Anna Jesse, Tami Long, Cathy Murray, Salli Pritts, Susan Stahle and Mindy Younker. Tami motioned, Susan seconded and all were in favor. Librarian's Report: 2025 April Check Outs 345 Computer Use 45 Programs 297 Patrons 17 Assisted New and Ongoing Tom Long spoke regarding parking and restroom concerns for library patrons now that summer ball is in season. Mr. Long will speck with the president of the Meridian Ball Association, Shane Gordon, to address theses concerns. Macon County Clerk Josh Tanner, certified the votes from the April election. Anna Jesse, Tami Long and Mindy Younker were elected to serve a four year term as Trustees. Cathy Murray was elected to serve a two year term. Trustees signed necessary paperwork and were then sworn in by the board. Following the swearing in oaths, nominations were made and the board voted on positions. Debbie Herbert, President. Motioned by Anna J. seconded by Cathy M. all approved. Anna Jesse, Vice President. Motioned by Debbie H. seconded by Mindy Y. all approved. Committee appointments for term are as follows: Audit Committee: To meet in July. Tami Long and Mindy Younker. Personnel Committee: To meet in June. Debbie Herbert, Cathy Murray, Salli Pritts and Susan Strahle. New employee, Adanya Johnson was introduced. She will be at the help desk, with programming and as an assistant for Community Engagement. A new teen advisory board has been formed. Meeting dates for the next fiscal year were discussed and approved. Salli P. motioned and Mindy Y. seconded. All approved. The Board discussed the cost on a non-resident card fee. Salli P. motioned for a fee to remain at $75 for a year. Tami L. seconded . All approved. Memorials for Elsie Zindel were designated to the library to be used for children. Donations will be used to purchase children's books and one book for the book walk. The Illinois State Historical Records Grant Program for 2025 was submitted. On May 1, notification was received that Joann Glacken was awarded an Illinois State Archives scholarship to attend the Accessibility in Archives and special Collections class. Many activities are planned for the upcoming month, including exercise classes, book club, craft events, LEGO program, Bunco group and free play times. May 15 & 16 will be the annual Book Sale and lunch during the Macon garage sales. Puzzlepalooza will take place on May 17th. A teacup fairy garden craft will take place on May 28th. Summer Reading planning is underway. Highlights include The Amazing Dudley Magic, Aikman Wildlife, Next to Kiln, the fire dept. and Deputy Matt Helfer, MHS Softball, Kona Ice. Abby Herbert will work through the summer as a replacement is sought. Thea Hinkle sent a thank you note for the library’s donation of weeded large print materials. Miss Hinkle is a Girl Scout and this was part of a service project. The books were taken to the Danville Veterans Home. Macon County Clerk had yet to certify the election results of new trustees. A special meeting will be called to swear in our new trustees, Cathy Murray and Mindy Yonker. April will be the last meeting for outgoing trustees, Donna Hayes and Linda Wiles. City Alderman, Tom Long, attended our meeting to discuss/gather information for a possible Story Walk to be added to the city’s planned walking path. The city is willing to pay for the installation of the structural pieces and the library will be responsible for changing and updating the story materials. Vicki will gather more information on how other libraries have installed story walks. Three bids were obtained to replace the roof. The bids are for the entire roof using ProClass Landmark shingles and any necessary sheeting or supplies. The bids are as follows: Muehlbach, $23,375 Dell Beiler, $22,400 D&R Roofing, $20,100 Following a discussion, Tami Long motioned to hire D&R Roofing. Salli Pritts seconded the motion. The vote was as follows: Tami Long, Y; Salli Pritts, Y; Donna Hayes, Y; Linda Wiles, Y; Anna Jesse, Y; Debbie Herbert, Y. D&R Roofing will be scheduled for the summer when we will have funding available. The final report for the Round 2 of the Libraries Transforming Communities report was completed March 26, 2025. Library bags and t-shirts with the new South Macon Library logo are now available. Book bags are $12.50 and the t-shirts s-xl are $16.50 and 2x-4x are $17.50. The library has a few available sizes and will order as needed. Annual review and discussion of Public Library Standards: Public Services: Reference and Reader’s Advisory Services, Programming, Youth/Young Adult Services, Technology, Marketing, Promotion, and Collaboration. A new youth advisory board is ready to begin. This group of young volunteers will report to Dena Wurster. Many activities are planned for the coming month, including exercise classes, book club, craft events, LEGO program, Bunco group and free play times. Summer Reading planning is underway. Highlights include, a magician with balloons, Next of Kiln, the fire dept. and Deputy Matt Helfer, MHS Softball, Koana Ice.
