Meeting was called to order at 3:35 p.m. by President Debbie Herbert. Trustees in attendance were Donna Hayes, Debbie Herbert, Anna Jesse, Salli Pritts, Susan Strahle and Linda Wiles. Vicki Carr, Lori Nixon and Bridgett Porter were also in attendance. Agenda, Minutes and Financial Report: Agenda, minutes and financial report were read and approved for January and February. Discussion and clarification of budget categories on the spreadsheet with suggestions of reorganization. Muehlebach Roofing was contacted to set an appointment to determine the condition of the library’s roof. Depending on the condition, the decision will be made to repair storm damage or replace the roof. Regardless, the fascia will need to be replaced by another business. Joann continues to work with the Decatur Macon County Historical Society on archiving historic documents. Primarily the Macon Newspaper collection. Vicki is submitting an application to the Il State Historical Records Grant Program for 2025 to help fund the digitization progress. The final report for the Round two of the Libraries Transforming Communities report is due on April 30, 2025. Discussion held to sell bags and t-shirts with the new South Macon Library logo. Annual review and discussion of Public Library Standards: Building Infrastructure and Maintenance, Safety, Collection Management, & System Member Responsibilities and Resource Sharing. During the city wide rummage sale in May, the library will have BBQ sandwiches, hotdogs, chips and desserts with a free will donation. Debbie will contact the seniors group for baked goods and chip donations. Many activities are planned for the coming month, including exercise classes, book club, craft events, cookie decorating, LEGO program and free play times. Meeting was called to order at 3:35 PM by President Debbie Herbert, Trustees in attendance were Debbie Herbert, Linda Wiles, Susan Strahle, and Tami Long as well as library employees Vicki Carr and Lori Nixon. The agenda, minutes, financial report were read and approved. Unfinished and on/going business: ALA grant for round three application was submitted in December. Discussion on possible changes in Library personnel were discussed with the consensus being that the library can hopefully continue to employ Dena Wurster part time and add another part time employee. Vicki was confident that a very plausible work schedule count be put into place that would greatly enhance the services of the library using these two employees. Core standards, Governance and Administration and Personnel were all briefly addressed by Vicki regarding the progress of programs. Brief updates were given on the the following subjects: storage she-hopefully in place by June. Decatur Art Council Grant to support programs. continue working on archives and ways to educate seniors on how to utilize these new items. Library "design" discussion on getting it on plastic bags to put checked out items in for easier transport and possibly on canvas bags in the future. With this significant increase in funds, it is in the library’s best interest to invest to prepare for future needs. Possible uses for funds beyond library services include heat/ac in the restrooms, roof/flashing replaced, carpet cleaning and a shed for additional storage. Petitions for the election of Trustees have been collected and submitted for the April ballot. Discussion of the new library logo was reopened. Three options presented based on November meeting notes. Option #3 was favored with the request for the addition of a third page to the book at the bottom of the tree. Tami motioned and Anna seconded to approve logo with the changes. All approved. The library was awarded $10,000 in the second round of The Illinois Humanities Grant for the Community Engagement Coordinator. Funds received on 12/16/2024. Regarding the roof, the insurance company denied to replace the roof due to hail damage. In the Spring, roofer will be contacted for estimates. The new copier is installed and working well. 2024 OHSA report is complete. February Meeting will be held on February 4, 2025 instead of the 11th due to a scheduling conflict. This change will be posted to notify the public. Many activities are planned for the coming month, including exercise classes, book club, craft events, cookie decorating, LEGO program and free play times. Meeting was called to order at 3:32 p.m. by President Debbie Herbert. Trustees in attendance were Donna Hayes, Debbie Herbert, Anna Jesse, Tami Long, Salli Pritts, Susan Strahle, and Linda Wiles. Lori Nixon was also in attendance. Agenda, Minutes and Financial Report: November agenda, minutes and financial report were read and approved. Librarian’s Report : Circulation for November was 325, computer use 49 and patrons assisted was 410. Eleven programs were hosted and 53 people visited for the Library Crawl. Trustee/Committee Reports : Petitions for the election of Trustees are now being accepted between November 12 and 18th. A new logo for the library was presented. Suggestions were made to make the logo more compact. Suggestions included arching South Macon Library District over the image and moving Heart of the community up under the bottom of the open book. Discuss further in January. The Holiday Schedule 2025 was discussed. Susan Strahle motioned to approve and Tami Long seconded. All approved. There is not a board meeting in December. Therefore, Anna Jesse motioned to approve the December 2024 bills, Salli Pritts seconded. All approved. Vicki is still waiting to hear if the library will receive the Illinois Humanities grant for the Community Engagement Coordinator. When the roofer came a second time, he said that the roof has hail damage that should be evaluated by the insurance. Insurance sent out an engineer and the library is still waiting to hear back. The trustees voted unanimously to purchase a RICOH IMC2510 Color Copier, to be purchased through Bid Tap Business Services of Pana. The machine would cost $4845 and belong to the library. A monthly service agreement is available for an additional $35 a month and would include service and ink for 2900 black and white copies and 200 color copies each month. Many activities are planned for the coming month, including exercise classes (time has changed to 1:30), Elf Academy, book club, Family Reading Night, women’s and kids craft nights, Christmas Tree Lighting with the City and Macon Fire Department, Cookie decorating, LEGO program and Bluey appearance for Christmas. Meeting was called to order at 3:47 p.m. by President Debbie Herbert. Trustees in attendance were Donna Hayes, Debbie Herbert, Anna Jesse, Tami Long, Salli Pritts, Susan Strahle, and Linda Wiles. Also in attendance were director Vicki Carr, assistant Lori Nixon, Joanne Glacken and Mindy Yonker. Agenda, Minutes and Financial Report: October agenda, minutes and financial report were read and approved. Librarian’s Report : Circulation for October was 296, computer use 45 and patrons assisted was 443. Trustee/Committee Reports : The upcoming election for Trustees will require petitions to be circulated and returned to Vicki between November 12-18. Anna Jesse and Tami Long will run again. Cathy Murray and Mindy Yonker are planning on submitting petitions to run to fill vacancies at the end of Donna Hayes and Linda Wiles current term. The library was awarded the ALA Grant - Libraries Transforming Communities Round 2 in the amount of $10,000. Vicki Carr is currently working on the Round 3 grant application. The grant application for round 3 will focus on meeting the needs of the autistic population of our district, as well as, maintaining and expanding our large print and audio book collections. The application for the Illinois Humanities $10,000 Grant to continue to support a Community Engagement Coordinator. The current copier is in decline. Discussion to replace indicated the need for a larger, commercial grade copier. Our increase in patronage and programming are taxing the current, small capacity copier. Jason Reed recommends a RICOH IMC2510 Color Copier, to be purchased through Bid Tap Business Services of Pana. This would be through a proposed deal with other small libraries purchasing to increase the savings. The machine would cost $4845 and belong to the library. A second option is a Sharp BP50C36 from GFI Digital. A representative paid a sales call to the library. This machine would cost $4755.16 which includes maintenance but each copy is charged individually at $0.008 for black and white copies and $0.0575 for color copies. No decision was made. Employee, Joann Glacken, gave a proposal for an archives undertaking project. The South Macon Library has many historical documents, newspapers, photographs, yearbooks, and memorabilia. Joann has begun working with the Macon County Genealogy Society to get items digitized. A collection of Macon Newspapers have been turned over to the Genealogy Society to be included in Newspapers.com . Vicki Carr and Joann are looking into the Illinois State Digitization Grant. Suggestions for how to display memorabilia and other items were briefly discussed as well as how to link access through the library website to make these items more accessible to our patrons. The initial Lego Night was a success. More Legos will need to be acquired. The October Lego Night was rescheduled as not to interfere with Halloween activities. The garage, crafts, used book sale and food prepared by Lori Nixon brought in $309. This money will be used for our continued expansion of programming. Many other activities are planned for the coming month, including the Library Crawl, Medicare Enrollment class, exercise classes, Zombie Apocalypse program, book club, exercise classes and meal planning, women’s and kids craft nights, and Bluey appearance for Christmas. Meeting was called to order at 3:32 p.m. by President Debbie Herbert. Trustees in attendance were Debbie Herbert, Susan Strahle, SallI Pritts, Donna Hayes, Anna Jesse and Linda Wiles. Trustee Tami Long was absent. Also in attendance were director Vicki Carr and assistant Lori Nixon. Minutes and Financial Report: August minutes and financial report were read and approved. Librarian’s Report: Circulation for August was 275, computer use 57 and patrons assisted was 237. Trustee/Committee Reports: The upcoming election for Trustees will require petitions to be circulated and returned to Vicki between November 12-18. Anna Jesse will run again. Donna Hayes and Linda Wiles have decided not to run. Tami Long is still considering and has permanently stepped down as secretary. Salli Pritts will be Secretary. Painting of the interior of the library is complete. Paint was $252.74 (using painter's discount) and labor was $3,000. Insurance funds deposited for repairs. Evaluation for the shingles, siding, vent cap, facia in the upcoming week. Chris Sloth was recommended regarding the siding and John Meuhlerbach for the roofing. The library’s small repairs have made it difficult to secure a contractor. Plumber came to evaluate the water spot behind the office sink. Issue is not the plumbing. Plumber thinks water is due to a bad seal on the vent pipe in the roof above the sink. Lego night on Thursdays will start on 9/26 using funds from the Illinois Humanities Grant. All are welcome. There will be a garage sale on September 19 and 20th which will include a craft swap. Monies collected will be put towards supplies for Humanities Programming. The Bluey Bash was a great success. 100% of children who signed up were in attendance to rotate through stations and meet Bluey. The event included five high school volunteers who are excited to come and help in future events. Bluey also ventured to the elementary school for an appearance. Many other activities are planned for the coming month, including the Library Crawl, Medicare Enrollment class, exercise classes, Zombie Apocalypse program, book club, exercise classes and meal planning. Meeting was called to order at 3:30 p.m. by President Debbie hHerbert. Trustees attending were Tami Long, Debbie Herbert, Susan Strahle, SallI Pritts. Trustees Donna Hayes, Anna Jesse and Linda Wiles were absent. Also in attendance were director Vicki Carr, Assistant Lori Nixon and Ed Flinn. Financial Report: Ed Flinn was in attendance to present information on the budget and the levy ordinance that will reflect a 71% increase to our budget. Motion made to approve the Budget Ordinance by Susan Strahle and seconded by Tammy Long. Librarian’s Report: Circulation for July was 550, computer use was 58 and patrons assisted was 574 Trustee/Committee Reports: Discussion of upcoming events and the need for volunteers to make the Bluey event run smoothly. The library will host a teen Zombie Apocalypse event run by the 4-H on Wednesdays starting 9/25, 10/9, 10/16, and 10/23. The upcoming election for Trustees will require petitions to be circulated and returned for Donna Hayes, Anna Jesse, Tammy Long and Linda Wiles, if they decide to run again. Preparations are underway for painting of the interior of the library which will take place the last week of August. Cleaning and sealing of the parking lot to take place on 10/13-10/14. Meeting was called to order at 3:35 p.m. by President Debbie Herbert. Trustees attending were Linda Wiles, Donna Hayes, Anna Jesse, Debbie Herbert, Susan Strahle, Salli Pritts. Trustee Tammi Long was absent. Also in attendance were director Vicki Carr and Assistant Lori Nixon. Financial Report: Salaries and book amounts were corrected for the year and Summer reading programs is over. Librarian’s Report: Circulation for June was 401, computer use was 51 and patrons assisted was 609. Trustee/Committee Reports: ALA grant Round One is complete and round Two is underway. Vicki has applied for Illinois Humanities $10,000 grant and feels confident about receiving it. Welcome new library clerk, Joann Glacken. Received quotes for painting the library. Parking lot quote: $1,400 and we ask for the “TIF” money at the City Council meeting to help out. Painting quote is $2,950.00 We approved the library board meeting dates for 2024/2025. We set up committees to review personnel and audit the minutes. Library Staff Activities/Programs: An Update was given and all programs are going well. During July 20 th Music in the Park, we will be raising money for our sign with a food booth, etc. An additional event was added on September 11thh. Stained Glass window decoration from 6 to 8 pm. The meeting was called to order at 3:40 by President Debbie Herbert. Those trustees attending were Anna Jesse, Donna Hayes, Susan Strahle and Debbie Herbert. Also attending was director Vicki Carr, and Assistant Lori Nixon. Trustees Salli Pritts, Linda Wiles, and Tami Long were absent. The minutes and financial report for May were approved as written. Circulation for May - 397 and computer usage - 62. It was noted that the number of patrons assisted was 490, many of those needing questions answered and computer help. A grant update was given with the ALA Grant finished up and the final report submitted. ALA Grant round 2 has started and well underway. A grant from the Gladys Brooks Foundation has been applied for to help with our dream of a digital sign. We have received the Per Capita Award check in the amount of $3249.18. A new internet service will be needed to support our new network and the cost has doubled. With the cost double what it was, and E-rate grant is being worked on. Vicki is making progress! Parking lot maintenance is badly needed. Debbie will look into who can do it and will try to have a quote by next meeting. Also, interior painting needs to be done and we will look for a few quotes on that. Charges for faxing need to go up as our costs in both time and equipment have gone up. After calling the local bank, which is only other place in town to offer the service, Anna made a motion to charge $1 for the first page and .25 per page thereafter. Donna 2nd the motion and it was voted yes by all. An update was given on staff activities with the the Senior group, summer reading and programs going on. Also bought to our attention that Brittany Weybright has resigned as of June 12, 2024. Abby Herbert has been hired part time for July and August while looking for a new person to replace Brittany. April minutes and financial reports were approved as read Librarian's Report: April 2024 circulation figures: CKO 398 Computer 59 Patrons assisted 476 UNFINISHED/ONGOING ALA Grant Update: Libraries Transforming Communities Round 1 finishes the end of this month, May 2024. ALA Grant Round 2 $10,000.00 is beginning. NEW IHLS iLead learning workshop and training for trustees. The learning for the trustees is being updated and may have requirements in the future. In the works using Illinois Humanities Grant Funds. Lego night Bluey Program Sept: Options were discussed on location and other arrangements that might be needed due to size of participants. Taylor Swift Party June 22nd. Friends of the Library serving breakfast and lunch during the Macon Community Garage sales made $1148.80. Meridian Teachers donated $65 to Library. Budget was discussed and it was decided that there is a need for a "Programming Budget" with its main purpose being the planning and implementation of the many and varied programs that the library is now offering for all ages. A motion was made by Salli Pritts and seconded by Susan Stralhe to leave the non-resident card fee that same at its current cost of $75. Motion passed. Building and maintenance ordinance #24-01 This was discussed. Salli Pritts made the motion to accept the ordinance. Susan Strahle seconded.
